Questions
What MeetingVault does, in plain terms
What is MeetingVault?
MeetingVault is a meeting intelligence app that records meetings from your own device's audio rather than sending a bot into the call. It captures what your computer is already playing, transcribes it, and turns the result into structured minutes: the decisions that were made, the action items and who owns them, and a risk register with severity ratings. Each of those stays linked to the moment in the transcript it came from, so you can check anything it claims. MeetingVault runs on the web, as a desktop app for macOS, Windows and Linux, and on iPhone and iPad, with an Android app in review. Because capture happens on your device, no participant is added to your meeting and the app never asks for access to your calendar.
How does MeetingVault record a meeting without a bot joining?
MeetingVault records at the operating system audio layer, using ScreenCaptureKit on macOS, WASAPI loopback on Windows, and PulseAudio or PipeWire on Linux. That means it captures the audio your machine is already playing and the audio from your microphone, the same sound you are hearing in the meeting. Because that happens below the meeting platform rather than inside it, MeetingVault never has to be invited, never appears in the participant list, and needs no integration with the platform you are using. Recording is started by you at the time of the meeting, so nothing is captured on a schedule or without a deliberate action. On mobile, MeetingVault records through the microphone rather than system audio.
Which meeting platforms does MeetingVault work with?
All of them. MeetingVault works with Zoom, Microsoft Teams, Google Meet, Webex, and anything else that plays audio on your computer, because it captures the sound at the device level rather than connecting to each platform through an integration. That also covers the conversations most meeting tools miss entirely: a phone call on speaker, an in-person conversation in a room, a webinar you are watching, or an ad-hoc huddle that was never a calendar event. There is no supported-platform list to check and nothing to break when a meeting platform ships an update, because MeetingVault is not attached to any of them.
What do the AI meeting notes actually contain?
MeetingVault produces more than a summary. Every processed meeting gives you a speaker-identified transcript, a summary, the decisions that were reached, the action items with their owners, and a risk register where each risk carries a severity. You can then ask questions against the transcript and get answers with citations pointing at the exact passage they came from, so nothing has to be taken on trust. Meetings also roll up into projects, which means you can ask a question across every meeting in a project rather than opening them one at a time, and generate reports and audio recaps from the whole set.
Where is my meeting audio stored?
On your own device first. MeetingVault is local-first and user-initiated: audio is captured to your machine and is uploaded for transcription only when you choose to process it. Once uploaded, data is encrypted in transit and at rest, and row-level security in the database means your recordings, transcripts and generated content are reachable only by your own account. MeetingVault never requests access to your calendar, your email or your contacts. You can delete an individual meeting, a whole project, or your entire account at any time, and deletion removes the underlying data rather than hiding it.
Which devices can I use MeetingVault on?
MeetingVault runs in any modern browser, as a desktop app for macOS, Windows and Linux, and on iPhone and iPad; the Android app is in review with Google Play. System audio capture — the feature that lets it record a meeting without a bot — is available on all three desktop platforms. On mobile and on the web, MeetingVault records through the microphone, which works well for in-person conversations and for calls on speaker. Whichever device you record on, everything lands in the same account, so a meeting captured on a laptop and one captured on a phone sit in the same project together.
How is MeetingVault different from Otter.ai or Fireflies.ai?
The structural difference is capture. Otter.ai and Fireflies.ai typically send a bot into the meeting and ask for calendar access so it knows when to join, which means a visible participant in the call and a tool that only works on platforms the bot supports. MeetingVault records device audio instead, so nothing joins the meeting and no calendar permission is requested — usually the difference that decides whether a tool clears an internal security review. MeetingVault also structures its output into decisions, action items and severity-rated risks rather than delivering a transcript and a summary alone.
